Document tracking

Document tracking: know when a lead opens what you sent

Send a deck, a proposal or a case study from your document library as a link in a reply. TechSales tells you when the lead opens it, how long they read and which pages they spent time on.

    In short

    • Upload files to the document library under Company Intelligence and insert them into a reply as a link named after the file.
    • PDFs and images open in TechSales' own viewer, which records read time, time per page and the deepest page reached. Other file types record the open only.
    • When a lead opens a document, your workspace gets an email saying who opened what, at most once per lead and document in six hours.
    • Today has an Opened documents section: one line per person and document, with opens, total reading time and the deepest page.
    • Link scanners in the lead's mail system and your own opens while signed in to TechSales are not counted. Included in every plan.

Instead of: attachments you never hear about again, and a separate document-tracking tool next to your outreach.

    How it works

    1. Add the file to your document library (up to 25 MB a file, 200 MB a workspace).
    2. In a reply, insert it from the library. It goes in as a clickable link named after the file, tied to the person you are writing to.
    3. The lead opens it in the TechSales viewer. Each reading is a line on their timeline and a Read a shared document signal; one past 30 seconds reads as a stronger signal.
    4. You get the email and the Today entry, and can follow up while the document is fresh.

A link copied from the library on its own is not tied to a person: its opens count for the document, not for a lead. Insert it from the reply box to know who read it.

    What you see

    • Per lead: every document they opened, how long they read and how many pages, under Documents and website on the contact page and the company overview, next to their website visits.
    • Per document: reads, people, average time and time per page, so you can see which page of a deck people stop at.
    • In Signals: document reads next to replies, company news and visits.

    Frequently asked questions

Which files show reading time and pages?
PDFs and images (PNG, JPG, GIF, WebP) open in the TechSales viewer and record read time and pages. Other files are served as they are, so only the open is recorded.
Will opening my own link count as a read?
No. Opens by team members signed in to TechSales are not counted, and neither are link scanners in the recipient's mail system.
    Who gets the email?
The workspace's contact address, in the workspace's language. If none is set, its admins.
