Calendly

TechSales and Calendly
When a lead replies 'Thursday at 14:00 works', TechSales can check your real Calendly availability and book it, and it marks the lead Meeting Booked when someone books through your link.
In short
- Each rep connects their own Calendly account with a personal access token; TechSales creates the webhook subscription itself.
- Bookings made through the TechSales booking link move the lead to Meeting Booked automatically.
- With Book meetings automatically on, a time the lead names is checked against your availability and booked; if it is taken, the nearest free times are offered.
- The reply itself is still yours to send. Auto-booking needs a paid Calendly plan and a lead with a real email address.

Set it up
- In Calendly, create a personal access token under Integrations, API and webhooks.
- In TechSales, open Settings, Connections and paste it into the Calendly card. Use Connect another account for each rep.
- Optional: under Booking & follow-up, switch on Book meetings automatically and pick the meeting type to book.
What moves in which direction
| Direction | What | When |
|---|---|---|
| Calendly → TechSales | New bookings through your TechSales link (webhook): the lead moves to Meeting Booked | As they happen |
| Calendly → TechSales | Scheduled events, shown by rep on the Calendar page | Every 15 minutes |
| TechSales → Calendly | A booking at the time the lead named, if it is free | When auto-booking is on and a reply names a time |
Booking and follow-up options
- Book meetings automatically: when a lead names a time and it is genuinely free, it is booked in Calendly straight away; if not, the draft offers your real open slots.
- Offer your booking link: when a lead sounds interested, the drafted reply includes your real Calendly link. You still send it.
- No-show recovery: a lead marked No Show gets one AI-written follow-up, based on your conversation, offering to rebook. It sends by itself, once per lead, and never chases someone who already rebooked.
- Propose a time in the Inbox puts two free times and your booking link into a reply.
Frequently asked questions
- Does TechSales send the reply confirming the meeting?
- No. It books the slot; the reply is still sent by a person, or by your reply automation settings.
- Why does auto-booking need a paid Calendly plan?
- Calendly only accepts bookings made through its API on paid plans. On a free plan, booking links and no-show follow-ups still work.
- Does it work for LinkedIn-only leads?
- Auto-booking needs an email address for the invitee, so LinkedIn-only leads get the booking link instead.
